Dubsado Costs $8–$40 a Month. I Built a Wedding Photography CRM in Notion Instead

If you shoot weddings, your client info probably lives in five places at once: an email thread with the couple, a spreadsheet of leads, a sticky note reminding you that the balance is due after the reception. It works — until an invoice slips past its due date because no single system was watching it.

That's the problem I kept running into. The obvious fix is a dedicated CRM like Dubsado or HoneyBook, and those tools are genuinely good. But they run $8–$40 a month, and for a solo shooter managing maybe a dozen clients at a time, most of what you're paying for is machinery you'll never switch on. It also means learning a whole new platform just to answer the question "who still owes me money?"

So I built the thing I actually wanted: Photog OS, a Notion template pack for wedding and portrait photographers. Here's what's in it.

A lead-to-paid pipeline, so every inquiry has a home from first email to final payment. A shoot-day timeline generator, so you're not rebuilding the day-of schedule from scratch for every wedding. A deliverables tracker, so galleries and albums don't fall through the cracks after delivery. And the part people ask about most: an invoice and payment log.

The invoice tracker is deliberately simple. It's a Notion database where you log each invoice with an amount, a due date, and a status. A formula marks anything past its due date in red, so at a glance you know exactly who to follow up with — no digging through your inbox to figure out which balance is outstanding. That's it. No monthly fee, and no learning curve beyond Notion itself, which you may already be using for mood boards and shot lists anyway.

I won't tell you it will transform your business. What I will say is this: if you're tired of chasing payments across email threads, spreadsheets, and sticky notes, consolidating into one view might save you hours a week — for the cost of a template instead of another subscription.
